Privacy Policy

This policy explains what information AUTOZUP handles, why, and the choices you have. It is written in plain language for our beta testers.
This is a beta draft policy written for testing purposes. It is not legal advice and has not been reviewed by a lawyer. It will be reviewed and replaced by professionally drafted terms before any full commercial launch.
Who this applies to
This policy applies to people who create an account and use AUTOZUP during the beta. AUTOZUP is operated by [Legal Entity Name].
Having this policy does not mean AUTOZUP meets the requirements of every privacy law in every country or region. We are describing how the product actually works today, and we will keep this page updated as AUTOZUP changes.
Information we process
Almost everything in AUTOZUP is information you choose to enter or upload. Depending on how you use the app, that can include:
- Account information, including your email address and the display name you choose
- Vehicle details such as year, make, model, trim, VIN, licence plate and current mileage
- Service history you add manually or import from an uploaded invoice
- Repair invoices and receipts you upload
- Repair estimates and quotes
- Insurance, registration, warranty and other vehicle documents you upload
- Expense information, including amounts, dates, categories and currency
- Images and PDF files you upload, and the information contained in them
- Maintenance information such as intervals, due dates and completed items
- Recall information retrieved for your vehicle's year, make and model
- Feedback and bug reports you send us, including an optional screenshot
- Basic technical context submitted with feedback: the page you were on, the vehicle you were viewing, your screen size and whether you were on a phone, tablet or computer
Your password is handled by our authentication provider and is never visible to us in readable form. We do not ask for payment card details during the beta.
How your information is used
We use the information you provide to run the features you asked for:
- Building and displaying your vehicle history
- Tracking maintenance and calculating what may be due
- Sending and displaying reminders
- Storing and organizing your documents, including expiry tracking
- Showing recall information that may apply to your vehicle
- Calculating cost-of-ownership and expense analytics
- Generating PDF exports of your vehicle history or account data
- Matching an uploaded document to the correct vehicle in your garage
- Responding to your feedback, bug reports and support requests
AUTOZUP does not sell your personal data to advertisers, and we do not run advertising in the app.
Automated and AI processing of documents
When you upload an invoice, quote or vehicle document and ask AUTOZUP to scan it, the file is sent to an automated document-understanding service (an AI model) to read information from it.
The information extracted may include:
- Vehicle identity details such as VIN, licence plate, year, make and model
- Mileage or odometer readings
- Service, invoice, issue and expiry dates
- A description of the work performed or proposed, including parts and labour
- Costs, totals and currency
- Document details such as document type, provider or policy number
AI extraction is not guaranteed to be accurate and can misread or miss information. Extracted values are always shown to you for review before they are saved, and you are expected to check anything important before confirming it.
Scanning only happens when you choose to scan a file. If you would rather not have a document processed automatically, enter the details manually instead.
Information retrieved from external sources
To enrich your vehicle profile and show relevant safety information, AUTOZUP may send vehicle details such as a VIN, or a year/make/model combination, to external vehicle-data sources. These currently include:
- NHTSA (United States National Highway Traffic Safety Administration) for VIN decoding and recall data
- Transport Canada for recall data
- Other vehicle-data providers we may add in the future
We do not send your name, email address or documents to these sources. Recall results are matched on vehicle details and are shown as recalls that may apply. AUTOZUP does not confirm that a specific VIN is affected by a recall unless an authoritative VIN-specific confirmation is available.
Where your data is stored, and security
AUTOZUP runs on hosted infrastructure. Account information, vehicle data and other records are stored in a hosted Supabase database, and uploaded files are stored in private Supabase storage. Automated document scanning is performed by a third-party AI provider.
We use reasonable technical safeguards, including per-user database access rules so that records are only readable by the account that owns them, private file storage with short-lived access links, and encrypted connections.
No online service can be described as completely secure. We do not claim that your data is unhackable or that security is guaranteed. Please use a strong, unique password and keep your account credentials private.
Your controls
From inside the app you can:
- Edit your profile, vehicles, service records, quotes, expenses and documents
- Delete individual records, documents and uploaded files where the app supports it
- Export your data as a PDF from Account & Settings
- Delete your account, which removes your vehicles, records, documents and uploaded files

Documents you upload
You are responsible for making sure you have the right to upload the documents you submit, and that uploading them does not breach anyone else's rights or an agreement you are subject to.
Vehicle documents often contain sensitive personal information such as addresses, policy numbers or signatures. Please avoid uploading unnecessary or unrelated information, and redact anything you do not need stored.
How long we keep your data
We generally keep your information while your account is active, or for as long as it is needed to provide the features you are using.
When you delete a record, document or your account, we remove the associated data and files through the app's deletion process. Some information may persist for a short period in routine backups or system logs, or where we are required to keep it to meet a legal obligation or resolve a dispute.
We do not currently publish fixed retention periods, and we do not want to state periods we do not actually enforce.
Children
AUTOZUP is intended for adults managing their own vehicles. It is not directed at children.
Changes to this policy
AUTOZUP is evolving quickly during beta, and this policy may be updated as features change. The "Last Updated" date at the top of this page shows when it last changed. Significant changes will be communicated in the app or by email.
